What are your responsibilities? You will be a support for all practical arrangements (e.g. organizing webinars) and administrative work e.g. around policies and procedures, internal and certification audits (contracts, audit planning and support, follow up of corrective measures,, certificates...) as part of Aviapartner’s Integrated Management System (which is certified ISO9001,14001, 45001, ISAGO etc.) managing files in Aviapartner’s digital environment (intranet, Qpulse, Finix, etc).

Data collection & management., follow up, consolidation and preparation for analysis. Presenting the quality & environment data insightfully in preparation for review. This also implies simplifying, reviewing and updating data. You facilitate the network in providing the required information by making it crystal clear what information you require, to what extent, in which format, why you need it and when you need it at the latest. You then keep an eye on the timely delivery and the accuracy of data.

Communication is a critical part of this function. Q&E engages actively in communication via different channels with many different internal and external stakeholders throughout the entire Aviapartner network on quality, environment and sustainability matters (Quality/Eco Pilots, airports we operate on, suppliers we partner with, customers, IATA, certification bodes such as DNV, SGS, etc…). We aim to communicate a clear and consistent message in view of getting the stakeholders on board with Aviapartner’s Q&E.

Collaboration on Aviapartner’s sustainability projects is inevitable: Data collection and organization of the data management for sustainability (including carbon footprint) in view of the upcoming CSRD (EU Corporate Sustainability Reporting Directive) and sustainability reporting, UN Global Compact Communication of Progress, contributing to the sustainability questionnaires issued by e.g. customers, banks, rating companies (e.g. Ecovadis), etc.

Co-organize webinars and training for the Aviapartner network, follow-up on and review of existing e-learnings, gathering information and creating (draft) new e-learnings to engage the internal stakeholders.

Follow up of IT-related issues, from feeding data to support for arranging accesses, coaching quality/eco pilots in the network with their IT issues to testing changes and new IT-systems.

Job requirements

What should be your personal and professional background?

• educational background: Master’s degree

• former experience in the domain of Quality, Environment and Sustainability; you need to have a genuine interest in this domain, since the role demands that you acquire a great deal of Quality and Sustainability related knowledge.

• excellent command of English (both verbally and in writing). Knowledge of French, Spanish and/or Italian is a plus. Dutch is not a must.

• administrative skills, with attention to detail and a high level of accuracy

• number sense, excellent MS-Excel knowledge and in general: tech savvy • former experience in (sustainability) audit support or auditing is a plus

• analytical skills

• communication in this position is key; you need a certain amount of empathy, patience and social skills to get on the same page with the stakeholders

• cooperative can-do attitude • self-starter who is well organized, accountable, can work autonomously, respects deadlines and takes initiative

• growth mindset, open to new ideas and willing to learn (different opportunities)

The schedule for this position is full-time. The position mainly works remotely or hybrid (if in Belgium), focused on Aviapartner’s international network (Belgium, The Netherlands, Germany, France, Italy, Spain, South Africa). You will be in touch with the network and with the person you report to, mainly digitally (although you and her will need some facetime on a regular basis). Your location is therefor of minor importance.
